Many rental companies start small: a few pieces of equipment, a simple schedule, a few customers. Microsoft Excel seems like a logical choice then. It’s cheap, flexible and everyone knows it. But as the business grows, Excel becomes a risk: duplicate bookings, incorrect availabilities, miscommunication with warehouse and customers, incorrect invoices….
That’s why using Excel to control hiring often goes awry. Not because software is difficult, but because Excel is not made for it.
Excel is not a software system. It is a spreadsheet – ideal for calculations, but totally unsuitable as a planning tool or rental platform.
Excel shows a table, not a rental process.

The single biggest mistake caused by Excel: A scheduler accidentally overwrites a cell, someone forgets to update a status … and a customer runs out of material.

Micrsoft Excel is great software for spreadsheets, calculations and analysis. But it is not a tool for driving rental processes. As you have more than 20-30 items in rental, it’s time to switch to more professional rental software.
